• Meet Start Time: 6:00 PM (promptly)
• Warm-Ups:
  • Tavistock: 5:15–7:30 PM
  • Ida Lee: 5:35–7:50 PM
• Officials Meeting (Judges & Timers): 5:45 PM
• Team Area: Ida Lee will be set up on the right as you enter through the side gate. A sign should be over your area.
• Concessions: Available on the pool deck
  • Warm food will be available on a first-come, first-served basis
• Baby Pool: Closed during the meet (no swimming allowed)
• Parking:
  • The parking lot is reserved for the visiting team
  • Overflow parking is available on Macalister, Santmyer, and Tavistock streets
  • Please do not park in front of houses or in the townhome area

Parking Details: We reserve our pool parking lot for our invited team. There should be enough parking, however, if the lot is full, we recommend you drop your swimmer off and find street parking on Patrice Drive, SE. Please do NOT park in the parking lots for our townhomes on Cobbler Terrace, Tammy Terrace or Spencer Terrace, as those spots are reserved for residents only.

Wednesday Schedule:

Our Pool Deck will Open to everyone at 7:00 AM

Warm ups for Kincaid Forest will be 7:15-7:30 AM

Warmups for the Tavistock will be 7:35-7:50 AM

The Meet will start promptly at 8:00 AM.

**Official briefings will occur at 7:30 am. Immediately followed by Timer Briefings at 7:40 am.

Seating:

The home and visiting teams sit on opposite sides of the pool. We invite our visiting team to sit on the side of the pool closest to the entrance of the pool. Concessions will be available! We do take Cash and Venmo.

Supervision

Coaches are responsible for the conduct of their swimmers and families and for cleaning up their team areas.

Below are some helpful and important reminders for the Swim Meet.

Parking: Please park in the church lot across the street. We will have some designated spots available in our immediate parking lot for concessions and we will have someone out there to help direct traffic. Do not park on the neighborhood streets, especially from the pool entrance of Balls Bluff Road to Battlefield Parkway, vehicles will be ticketed or towed. Overflow parking can be at Balls Bluff elementary school if needed which is next to the pool and parents can walk through the neighborhood to get to the pool!

Warm-Ups & Start Time:

Each team should plan to host warm-ups at their pool.

We have a hardstop at 11 am. As of now, we would like to start at 7 am but this will depend on how many total swimmers we have so might need flexibility with the starting time to start earlier.

We will offer the opportunity for swimmers to come in early to get backstroke counts in our pool prior to the meet at 6:45 am. Again, this might change if we need wiggle room on the start time, we would have this earlier.

Swimmer & Spectators: Each team will have a designated spot in the parking lot for swimmers and spectators. Tents are allowed to be set-up in the parking lot. Our deck is not very big so we ask that parents come on for their swimmer's race and head back to their team area after. Parents can also set-up chairs along the fence of the pool if they would like to.

Officials & Timers’ Meetings

• Listen for announcements for calling of timers and officials and where to meet.
• We will assign timers for each lane and have a lanyard to hand-out to the volunteers.
• We will have chief judges to help the head ref and keep things moving along.
• We provide coolers with cold water for all officials during the meet.

Volunteers: Please have your volunteers check-in with Lisa who will be set-up at the volunteer table. Just wanted to note that we change volunteers out AFTER backstroke. You do not have to have your volunteers change out but just wanted to note that is something we do for our team.

Ribbons: We will print and handle ribbons at the meet. We ask that you make sure your area is cleaned up prior to picking up ribbons. We will have someone from our team help check your team area and coordinate the ribbon hand-off.

Concessions: We will have Concessions available in the parking lot and we accept venmo!

In addition, we do not allow junior coaches to start/get in the water with younger swimmers for their race. Given our time constraints, I just wanted to flag this prior to the meet.
